At 8:12 on a Tuesday morning, the website says the office is open. Google says it is closed. An industry directory lists a phone number disconnected two years ago. A review names a service the company no longer provides, and the founder who retired is still described as the person in charge.

No backlink report will call this an emergency. A customer trying to decide whether the business is real might.

This field manual begins after the brand already exists in public. Its job is to find, correct, govern, and strengthen the external evidence surrounding that brand.

The distinction matters. Publishing original research will not repair the wrong phone number on a major profile. Updating a directory will not give an editor a reason to cite a claim. Both contribute to authority, but they require different owners and different work.

A surface is not valuable because a software platform found it. It is valuable when a relevant person uses it to verify, understand, evaluate, contact, or reference the organization.

Step 1: Establish the entity record

Before changing external profiles, write the current business truth in one controlled record. At minimum, capture the public name, legal name where relevant, primary category, secondary categories, locations, service areas, phone numbers, canonical website, appointment or commerce links, regular and special hours, leadership, credentials, short description, services, accessibility information, brand assets, and the effective date for every material fact.

Assign an owner and a source for each field. The operations team may own holiday hours. Legal may own the formal name. Human resources may own leadership changes. Marketing can distribute the truth, but it should not invent operational truth to complete a profile.

Google's current Business Profile guidelines require businesses to reflect the organization accurately, use the real-world name, provide a precise address or service area, and select categories that describe what the business is. That is a useful standard beyond Google: public profiles should represent the actual organization, not a keyword-expanded version of it.

Separate disagreement from formatting

“Suite 200” and “Ste. 200” are usually a formatting difference. Two different phone numbers, two different business categories, or an address where nobody serves customers are material contradictions. Fix the facts that change a decision before spending a week standardizing punctuation.

Step 2: Build the external evidence inventory

Search the business name, former names, phone numbers, addresses, leaders, products, and distinctive claims. Review major search and map products, industry associations, licensing bodies, high-relevance directories, social profiles, review platforms, news coverage, partner pages, podcast directories, conference bios, and public datasets appropriate to the business.

Record the destination, surface type, owner, login or claim status, facts displayed, last review date, traffic or inquiry evidence if available, and required action. Do not create a hundred listings merely because a vendor can. Inventory what already influences verification and what a real audience has a reason to use.

Step 3: Operate reviews as customer evidence

A review program should make it easy for real customers to describe real experiences. Ask consistently at a defensible point in the journey. Do not select only the customers expected to be happy, write the review for them, require a particular sentiment, or make an incentive conditional on posting.

Google Maps' user-contributed content policy prohibits reviews that are paid for, incentivized, biased, or not based on a genuine experience. The Federal Trade Commission's Consumer Reviews and Testimonials Rule addresses practices including fake reviews, sentiment-conditioned incentives, insider reviews without appropriate disclosure, review suppression, and misrepresented review websites.

This is operational and legal territory, not a clever growth hack. Policies and applicable law should be reviewed for the business, location, platform, and program before launch.

Respond for the next reader

A review response is not only a message to the reviewer. It is evidence for the next person deciding how the company behaves under praise, confusion, and pressure.

  • Acknowledge the experience without disclosing protected customer information.
  • Address what can be addressed publicly and move sensitive resolution to a secure channel.
  • Do not argue with an emotional adjective when the operational fact matters more.
  • Route recurring complaints to the team capable of fixing the cause.
  • Record the pattern, response time, resolution, and policy issue separately from the star average.

The best reputation program eventually changes operations. If the same failure appears in six reviews, the copy team does not own the whole problem.

Step 4: Treat citations as verification, not volume

A legitimate citation connects the organization to a relevant category, place, credential, membership, or body of work. A medical group may need accurate health-system, insurer, practitioner, and licensing records. A manufacturer may need distributor, certification, association, and product references. A local museum may need tourism, education, accessibility, and community listings.

The question is not “Can we submit here?” It is “Who uses this source, what fact does it verify, who owns that fact, and what happens when it changes?”

Reject directories that exist primarily to sell ranking promises, publish anything without review, or create pages no relevant person would reasonably visit. A smaller inventory of accurate, governed sources is stronger than a large inventory of neglected copies.

Step 5: Route editorial opportunities to evidence

Journalists, educators, associations, analysts, and practitioners do not need another generic founder quote. They need a reliable fact, useful explanation, original dataset, decision tool, qualified source, or documented example.

Use the Reference Worthiness Test before outreach. If the destination has no inspectable method, accountable author, stable URL, clear limitation, or independent utility, repair the asset first. This field manual owns the relationship record and public consistency; the authority system owns the evidence asset and editorial distribution method.

When coverage appears, capture the exact claim, source, date, author, destination, corrections contact, disclosure status, and whether the reference is a link, citation, or mention. Do not reduce an article that accurately explains the work to “one new backlink.”

Step 6: Participate in communities without wearing a campaign

Professional communities, local groups, open-source projects, conferences, and specialist forums can create durable recognition. They are also unusually good at detecting somebody who arrived with a quota.

Give the person representing the company a real area of competence and enough freedom to be useful. Answer the question asked. Name uncertainty. Link only when the destination genuinely improves the answer. Follow community rules. Keep protected client, employee, and customer information out of public threads.

Measure contribution before extraction: accepted talks, useful answers, collaborator invitations, source requests, qualified conversations, and recurring recognition. A branded profile dropping URLs into twenty discussions is not community authority. It is a cleanup ticket waiting to happen.

Step 7: Govern partnerships, sponsorships, and memberships

Partners and institutions can supply meaningful public evidence when the relationship is real. Confirm what each party may claim, which marks may be used, how long the relationship lasts, who approves descriptions, and what happens when it ends.

Paid exposure can be useful, but it belongs in the paid-distribution record. Google's outbound-link guidance recommends rel="sponsored" for advertisements and paid placements; nofollow remains acceptable. Disclosure protects the reader and preserves the difference between purchased reach and independent editorial judgment.
